| About Fleet
Services |
Cornell University Fleet Services (CUFS) provides safe, clean and reliable
transportation in a courteous, friendly environment to university
staff and departments at the lowest possible cost.
CUFS is responsible
for the care and condition of approximately 250 vehicles used
by employees on official contract (state) college business.
Fleet Services tracks departmental use and will make necessary
vehicle adjustments and repairs. Five licensed mechanics schedule
and perform routine maintenance and document any adjustments
and repairs made. Fleet vehicles undergo the same annual safety
inspections as other vehicles registered in New York State.
Vehicles available from CUFS include:
- Sedans
- 7-person minivans (includes driver)
- Pickup trucks
- 8-person vans (includes driver)
- 12-person vans (includes driver)
- Suburbans and SUVs
All vehicles are equipped with:
- Maps
- Snow brush
- Voyager gas/service card
- Road flares
- Flashlight
- Emergency instructions in the event of an accident

Great News!
Fleet users can now make their short-term vehicle requests online using FleetCommander.
If you're already a customer, you should have received a welcome e-mail with instructions on how to log into the FleetCommander system.
New to Fleet Services? You will need to complete a Fleet Driver Registration form and Risk Management's Driver History registration form, and then set up a profile in the FleetCommander online system.
Our goal is to make the process of requesting reservations and checking or updating those requests as simple as possible. If you have any questions about the new service, please contact us.

contract colleges have access to the fleet for short-term rentals. The rental price is either per day or by the mile (whichever
is greater). Rentals are fully insured
and include gas.

| Long-Term
Rentals (30 days or more, up to one year) |

If a contract college
unit needs a car for longer than a month, but doesn't wish to
purchase a permanent assignment, a long-term
rental may be the answer. The rental price is either per day or
by the mile (whichever is greater). Rentals
are fully insured and include gas.
Vehicles are limited in number. Make rental arrangments as far in advance as possible to ensure the vehicle type requested will be available.

| Permanently
Assigned Vehicles |
How Permanent Assignment works:
- A contract college unit purchases a fleet vehicle under state-negotiated
pricing.
- The vehicle is then transferred to CUFS.
- CUFS will fuel, maintain, service, register, inspect,
and insure the vehicle.
- CUFS then leases it back to the department. In
most cases, CUFS will replace the vehicle every
3 years or 50,000 miles in perpetuity (some vehicle types have
a longer life cycle).
- A one-time, up-front purchase means the department has
a new, well-maintained car with the features of their choosing
into the foreseeable future for a modest, all-inclusive monthly
charge.
- After the initial charge,
payment is made monthly by the mile or a monthly fee, whichever
is greater.

| Fleet Vehicle Service
and Maintenance |

The garage at
CUFS performs routine maintenance and minor
repairs, as well as most major repairwork. For complete information about service policies, please refer to the CUFS Policy Manual.
These services are included in the cost of
the short- or long-term rental or permanent vehicle assignment:
- Maintenance and Repair Service
Routine service work includes everything from oil changes and
inspections to tune-ups to engine and transmission repairs. Other services available are detailing and computer diagnostic checks of fuel injection, anti-lock
brakes, and other safety systems.
- Local (Ithaca) Roadside Assistance
CUFS will provide roadside assisance to fleet vehicles that break down in Ithaca. Services can range from a jumpstart or tire change to making arrangements to have a vehicle towed back to the Fleet Services garage for more involved repairs.
- Roadside Assistance Outside of Ithaca
Reimbursement for emergency service, towing, and repairs will be processed through CUFS. Please be sure the vehicle's fleet number is noted on all receipts.
Department-owned Vehicle Services and Prices
Department-owned vehicles (not owned by CUFS) can have routine service work and major repairs performed at the Fleet Services garage for a fee. Service calls can be made to vehicles that break down in Ithaca; vehicles needing extensive repairs can be towed back to the Fleet Services garage.
All service and repairs are charged for actual hours of labor
at $30/hour (in 1/10th hour increments). Service calls are $25. Parts for department vehicles have a 10% surcharge added.

Used cars that have been retired from the fleet can be purchased at or below
NADA trade-in prices. Vehicles are generally available in the spring or fall of the year, and can be viewed at 798 Dryden Road. All cars are
warranteed for 60 days or 3000 miles, whichever comes first.
